Settings & Permissions

Invite teammates and control what they can access in PARSER

Add people to your PARSER team when they need to upload, review, organize, or manage documents with you.

Each member has one role. The role controls which parsers and settings they can access and what actions they can perform.

Open Members and Roles

1. Open the team.

2. Open the team menu.

3. Click Members.

4. Use the Members tab for people and invitations.

5. Use the Roles tab to understand or create roles.

The Roles tab is shown only to people who can manage team members.

Invite a member

1. On the Members tab, click Invite Member.

2. Enter the person's email address.

3. Choose the role they should receive.

4. Click Send invite.

The invitation remains pending until the person accepts it.

Start with the least access the person needs. You can change the role later.

Built-in roles

Owner

The Owner has full access, including:

  • Billing
  • Ownership transfer
  • Team management
  • Every parser and classifier

There is one team owner.

Admin

An Admin can manage the team, roles, parsers, and classifiers, but cannot manage billing or transfer team ownership.

Member

A Member can work with documents in parsers and classifiers but cannot manage the team or sensitive parser settings.

The exact actions available can also depend on your team plan and any custom access rules.

Create a custom role

Use a custom role when the built-in roles give someone too much or too little access.

Examples:

  • Reviewer - View and edit assigned documents, then approve or reject them
  • Accounts Payable - Work only with invoice and purchase-order parsers
  • Client Operations - Upload and organize documents without changing parser settings
  • HR Documents - Access only selected HR parsers

To create one:

1. Open the Roles tab.

2. Click Create role.

3. Enter a clear role name.

4. Choose what the role can do.

5. Choose whether it applies to every parser or only selected parsers and classifiers.

6. Save the role.

7. Assign it to the appropriate members.

Change a member's role

On the Members tab, use the role selector beside the member. The new access applies after the role is updated.

Before reducing access, check whether the person is assigned to documents in a review workflow.

Remove a member

Use Remove when someone no longer needs access to the team.

Removing a member does not delete the team's parsers or documents. Reassign any documents waiting for that person before removing them.

Transfer team ownership

Only the current Owner can transfer ownership.

1. Find the member who should become the new owner.

2. Click Transfer ownership.

3. Review the confirmation carefully.

4. Confirm the transfer.

The selected member becomes Owner, the previous owner becomes Admin, and billing and ownership controls move to the new owner.

Good practices

  • Give people only the access they need.
  • Use a reviewer role instead of Admin for people who only check documents.
  • Remove former employees or contractors promptly.
  • Review pending invitations and cancel ones that are no longer needed.
  • Keep at least one trusted person able to manage members and parser access.
