Document Type Rules

ParsersParser Settings

Choose which document types a parser should process or skip

Use Document type rules when documents enter a parser from email, uploads, upload pages, embeds, API imports, URL imports, or Zapier, but some document types should not reach extraction.

You can process only selected document types, or skip selected document types and process everything else.

When to use it

Use this setting when:

  • You forward emails from a sender that may include mixed document types
  • One email can contain several attachments, but only some should be processed
  • You want an invoice parser to ignore receipts, support tickets, statements, or unrelated files
  • You want to skip a small set of documents, such as Form W-2 and Form 1099, while processing everything else
  • You want to reduce wasted processing on documents that do not belong in this parser

How to enable it

1. Open your parser and go to Settings -> Parser Settings.

2. Find Document type rules.

3. Turn the switch on.

4. Under What should PARSER do?, choose:

  • Process only selected types to process matches and skip everything else.
  • Skip selected types to skip matches and process everything else.

5. In Document types to process or Document types to skip, add the document types the rule should use.

6. Optionally add Extra instructions when similar document types need more explanation.

7. Click Save Parser.

Choose one option for each parser. You do not need both because each option already defines what happens to every other document. Existing document type rules continue to use Process only selected types unless you change this option.

What happens to skipped files

When this setting is enabled, PARSER checks each incoming document before extraction.

  • With Process only selected types, matching documents are processed and everything else is marked as Skipped.
  • With Skip selected types, matching documents are marked as Skipped and everything else is processed.
  • Skipped documents stay visible in the Document Inbox for review, but they do not appear as extracted rows in your data table.

This makes it easier to audit what was ignored without mixing skipped files into your extracted data.

Reviewing skipped files

Open a skipped document to see why PARSER skipped it. The document panel shows the detected type, the configured document types, and the reason for the decision.

If the file was skipped correctly, no action is needed.

If the file should be processed, click Process anyway in the skipped document panel. PARSER will process that document once and bypass document type rules for that run.

If you click Reprocess from a document action menu or use bulk reprocess, PARSER uses the current parser settings again. Document type rules run again, so the document may be skipped again.

Cost and availability

Document type rules are available on Pro, Scale, and higher plans.

It costs 0.1 credit per document checked, whether the document is processed or skipped.

Examples

Invoices from a shared vendor inbox

Choose Process only selected types and add Invoice. If the same vendor sends a support request or general message, PARSER skips it instead of trying to extract invoice fields from the wrong file.

Mixed attachments in one email

Choose Process only selected types, then add Invoice and Purchase Order. If an email contains an invoice, a purchase order, and a marketing PDF, PARSER processes the invoice and purchase order and marks the marketing PDF as Skipped.

Expense documents

Choose Process only selected types, then add Receipt and Expense Report. PARSER processes matching expense documents and skips unrelated attachments.

Skip W-2 and 1099 forms

Choose Skip selected types, then add Form W-2 and Form 1099. PARSER skips matching tax forms and processes other document types normally.

To cover every 1099 variation, add an extra instruction such as Treat all Form 1099 variants as Form 1099.

Tips

  • Use short, clear document type names like Invoice, Receipt, or Bank Statement.
  • Choose Process only selected types when the parser should handle a known set of documents.
  • Choose Skip selected types when most documents are acceptable and only a small set should be skipped.
  • Use Extra instructions when documents are similar, such as when every Form 1099 variation should follow the same rule.
  • Review the first few skipped documents to make sure the rule behaves as expected.
