Setting Up Review Stages

Reviews & Approvals

Create review stages and configure rules

You set up review stages in Settings -> Reviews & Approvals. Each stage defines when documents are flagged for review and who can review them.

Where to set it up

1. Open your parser and go to Settings.

2. Click the Reviews & Approvals tab.

3. Click Create First Review Stage (or Add Another Stage if you already have stages).

Creating a review stage

Name your stage

Give the stage a clear name (e.g. "Initial Review", "Manager Approval", "High Value Check"). Click the name to edit it.

Choose review type

  • Mandatory review: Every document goes through this stage (no rules needed)
  • Conditional review: Only documents that match your rules are flagged for this stage

Use mandatory when you want every document reviewed. Use conditional when you only want certain documents reviewed (e.g. high-value invoices, low-confidence extractions).

Assign the reviewer

Choose the one team member who should review documents at this stage. When a document reaches the stage, PARSER assigns it to that person. Only the assigned reviewer can approve or reject it.

Add reviewer instructions (optional)

Use Reviewer instructions to tell the assigned person what to check. Keep the instruction specific to this stage, for example:

Confirm that the vendor, invoice number, and total match the document. Check for a possible duplicate before approving.

The instruction appears in the assignment email and above the extracted data when the reviewer opens the document.

Add flagging rules (for conditional review)

If you chose conditional review, add rules that flag documents. All rules must match for a document to be flagged.

Examples of rules:

  • Total Amount > 5000 - Flag invoices over $5,000
  • Confidence < 0.8 - Flag documents with confidence below 80%
  • Vendor Name does not exist - Flag documents missing vendor name
  • Invoice Date is a future date - Flag invoices with future dates (might be errors)

How to add a rule:

1. Click Add First Rule (or Add Another Rule).

2. Select a field (e.g. "Total Amount", "Invoice Number", or a table column like "Line Items.Quantity").

3. Choose a condition:

  • Extracted value - Check the field's value (e.g. amount, date, text)
  • Confidence - Check the confidence score for that field
  • Exists / Does not exist - Check if the field has a value
  • Is valid date / Is future date - Check date validity

4. Choose an operator (e.g. "is greater than", "equals", "contains").

5. Enter a value to compare against (if needed).

Rule examples:

Rule

Meaning

Total Amount > 5000

Flag if total is greater than $5,000

Confidence < 0.8

Flag if confidence score is below 80%

Vendor Name does not exist

Flag if vendor name is missing

Invoice Date is a future date

Flag if invoice date is in the future

Save the stage

Click Save Changes to save your review stage. It will be active immediately.

Multiple stages

You can create multiple stages (e.g. "Initial Review" -> "Manager Approval" -> "Final Check"). Documents go through stages in order. If a stage is mandatory, every document goes through it. If it's conditional, only matching documents are flagged.

If a reviewer rejects the first stage, the document becomes Rejected. If a reviewer rejects a later stage, the document returns to the previous stage for another review.

Tips

  • Start simple: Create one stage with one rule to test, then add more.
  • Use confidence rules: Flag documents with low confidence scores to catch extraction errors.
  • Use value rules: Flag high-value documents or documents with unusual values.
  • Assign the right reviewers: Make sure reviewers have access to the parser and understand what to check.
  • Give one clear instruction: Tell the reviewer what outcome to confirm instead of repeating the entire workflow.

Editing or removing stages

  • Edit: Click the stage to expand it, make changes, and click Save.
  • Remove: Click the trash icon on the stage to delete it.
